American University of Armenia (AUA) is hiring an Administrative Assistant for the Manoogian Simone College of Business and Economics (MSCBE).
Primary Responsibilities
- Prepare letters, memos, agendas, reports, and other documents as requested by the Dean/Assistant Dean/Program chairs, and distribute them to stakeholders as necessary, as well as provide translation and editorial assistance when necessary.
- Coordinate the logistics of course delivery, such as faculty materials, faculty travel, classroom bookings, audio-visual equipment reservations, faculty email and server access, and student information, the distribution of calculators, appointments etc., help in scheduling of classes (primarily for BAB, etc.).
- Arrange and confirm appointments for the Dean/Program Chairs. Assist with new faculty orientation, assist in the teaching assistants/associates hiring process. Refer students and general callers, answering telephone and walk-in inquiries.
- Monitor and order office supplies, process relevant expense accounts, operate office equipment, and maintain an attractive and clean office.
- Support in organizing meetings, recruitment/marketing events, conferences, and other activities.
- Coordinate and assure the effective administration/organization of exams (including updating and managing the MSCBE exam and Evaluation management spreadsheet), working in cooperation with the Registrar’s office.
- Support in processing grants and other service contracts in cooperation with the HR Office and Financial Services.
Qualifications
- Undergraduate Degree/University Diploma in a relevant field.
- Strong written/oral communication skills in English, Armenian.
- Excellent interpersonal and communication skills.
- Computer skills (MS Office, spreadsheets, database management).
- Relevant work experience of 1 year and more.
- Excellent interpersonal and team building skills with an ability to work in a fast-paced changing environment.
- Ability to work with a variety of constituencies.
